Microsoft 365 top tips – Tasks

Top levels of organisation are essential to ensure a successful workplace but this can be near impossible when trying to achieve it with the wrong tools. For example, pretend you are a plumber with a small team of people you have a series of 10 bathrooms to fit. Each bathroom will take a different amount of time to complete and require different tools in order to complete the job. Some of the customers require specialised features and need their bathrooms completed by certain dates and times. Without a good level of organisation, it simply would not be possible to achieve them all to your required or even acceptable standards.

Microsoft 365 have tools that offer advanced levels of organisation.

Microsoft 365 (formerly Office) has brought us tools capable of improving the way we work for almost 50 years. Its applications’ popularity gives an indication of how good its tools are, with Microsoft Teams (one of Microsoft’s most successful applications of all time) having an average daily user count of 115 million! – which is a number unrivalled by any competitor offering a similar function.

The application that Microsoft developed to enhance organisation in your work day is ‘Tasks’.

You would be right in saying that ‘Microsoft already has task tracking application’, but Tasks is unique from ‘Planner’ and ‘To-Do’ as it merges the two together; giving you the ability to see your individual and group tasks in one place.

Can Tasks help me day-to-day and, if so, how?

Yes, it can. If we use the earlier example again, you are a plumber with a small team you are in charge of, you have a very specific busy schedule. Using Tasks allows you to organise your schedule accordingly to ensure that your time and the abilities of your team are used as effectively as possible.

Microsoft see their task management applications as living in a sort of ecosystem. They view their task-related apps and services as three different categories: task engines, task hubs, and then first party apps.

Now we will break down those three categories, see what they are, and what they do.

  1. Task engines – Task engines are where tasks are stored. Microsoft say these engines are Planner and To-Do. They are the staple of the task management system.
  2. First party apps – These are the ones that allow you to save tasks whilst working. One example is Microsoft Word – you may be working on a document, resulting in a task which you then want to save back to Planner or To-Do. This is not in the current capabilities of Microsoft 365 but it is something they are working on.
  3. Task hubs – These are apps like Teams and ‘Outlook’, where other work takes place, but you want the ability to capture tasks whilst doing it.
