Communication in the modern world – the modern way

The previous blog highlighted the traditional methods of communication predominantly used in workplaces all around the world and we mentioned that these are simply no longer good enough in the digital age that we are living in. We also stressed that communication is the most important factor in running a successful thriving business.

In this blog we will explore how we can communicate the modern way.

The Modern way

Microsoft Teams

Microsoft Teams is a relatively new addition to Microsoft’s suite of tools, but it has very rapidly become one of the most successful applications they have ever released. Microsoft Teams has an average user count of 145 million people worldwide – a number that is simply out of reach for most. Teams has reached this level of popularity through its ability to integrate within the Microsoft 365 ecosystem, by allowing teams to share files, co-ordinate tasks, and schedule meetings, all in one place! This allows you to completely irradicate in-house emailing forever!

VoIP – The future of the landline telephone

VoIP – for those that are unfamiliar with the acronym – stands for Voice over Internet Protocol. VoIP allows you to make a call directly using a computer or a VoIP phone from anywhere, all whilst still keeping the same contact number.

ISDN – with its extortionate price tag – is nearing end of life. This fact makes traditional phone systems not only unfit for purpose but also ridiculously expensive. VoIP is comparatively low price-tag, and has advanced capabilities, allowing business owners to communicate with their employees no matter where they are globally. This makes it the top modern choice for most business owners around the world.

Why is VoIP the ‘go to’?

The ability to mirror the office setting

VoIP makes it possible to ‘fool’ your clients into thinking you are sitting at your desk in your office, when actually you could be anywhere. With VoIP you can better your levels of professionalism much more easily than with traditional telephony – the process you and your customer go through to make and have the call is exactly the same for the customer, as the number they call is the reputable company one, and the call is answered with the company greeting as normal. The process wastes a lot of time that could be spent doing something more productive and has the potential to be damaging to business operations.

VoIP has allowed for advanced service mobility. You can have a partially remote working team that spend time working from a variety of different locations – it makes no difference where they work from to the client as to them you are sitting at your desk in the office ready to take their call.

Voicemail – previously a massive part of business operations in most businesses. The modern world – and the pace at which it operates – has seen it become too time-consuming to be of use any more. Using VoIP means there is no need for Voicemail, as it allows you to choose where your calls ring, and how. The first ring could take place in the office (where you are the majority of the time), the second call to your home office, and the third to your mobile, for example, therefore guaranteeing you have the best chance of answering the call.

Reliability

By choosing where your calls are forwarded to, it allows you to guarantee to customers that their call will be answered – as well as allowing your team to work from anywhere in the world. This also means that, in the event of a disaster effecting your internet connection, you can simply move to a different location until the connection is reinstated.
