The Future of Business Communication

In the previous article we explored some of the traditional methods of communication that we are all familiar with, and we explained how these methods simply don’t stand up in the modern digital age. Communication is, and always will be, one of the most important ingredients to running a successful business. In the following article we will explore the modern ways of communicating and learn how it can help your organisation excel into the future.

Communication for the modern business

VoIP – Telephony for the modern business

VoIP stands for Voice over Internet Protocol. VoIP makes it possible to make a call directly from a computer or a VoIP phone from anywhere in the world – as long as you have an internet connection, and all can be done whilst still keeping the same contact number.

ISDN, otherwise known as the traditional form of telephony for business, is nearing end of life. This alone has made traditional phone systems unfit for purpose, and that is without mentioning the extortionate amount of money installation and maintenance can cost. VoIP has a comparatively low price-tag and far advanced capabilities, and it allows you to communicate with your team no matter where they are around the globe.

Why is VoIP the obvious replacement?

The ‘office setting’ from anywhere

VoIP allows you to appear to your clients that you’re at your desk, when in reality you could be anywhere. The levels of professionalism you can achieve with VoIP in comparison to traditional telephony is considerable, and it can be done with no change to the process for your customers. The number they call is the same company number that they always contact you on, and it enables the call to be answered with the same cheery professional greeting that is used in the office. For new customers in particular this is essential, as it develops instant trust and portrays the professionalism that your organisation wants to pride itself in.

Mobility

Traditional phone lines that run to a business have a specific number assigned to them. With the transition to remote working that your team have likely had to endure, they have been forced to remember complex codes and keys to dial in order for their device to appear as the office number – for the less tech familiar this can be a long, arduous, and very unproductive process.

VoIP allows for advanced mobility of service. It is now possible for your team to work from a variety of different locations with the change having very little to no effect on the professionalism and quality of service they can offer – to your clients it will appear that you are still at your desk.

Relationships

Voicemail – we all remember the days where Voicemail was a key part of our work processes. But, in the modern fast-paced world of work we operate in, has it become too time-consuming to be of use any more? VoIP has made voicemail obsolete; it has allowed us to choose where our calls ring and for how long they ring for. You could theoretically have the first rings take place to where you are most (undoubtedly the office), then the second to your home, and the last to your mobile, allowing you to guarantee to your clients that you will never miss their call (which has always been an ineffectual promise until now).

Reliability

As we said, the abilities of the tools we have described allow you to make promises to clients, when traditionally promises were never a good idea in business. By choosing where your calls are forwarded to in the event of disaster you can simply route your calls to another location, meaning guaranteed uptime and constant levels of service that your competition may not be able to offer.

Microsoft Teams

Microsoft Teams is one of the latest and greatest additions to the Microsoft ecosystem, and has rapidly risen to the very top of the list of the most successful applications of all time. With its daily average user count of a massive 250 million people spanning the world, it has no competition in applications of its type. Teams integrates with the Microsoft 365 ecosystem seamlessly, and your team can use it to share files, co-ordinate tasks, and schedule meetings, all in one place. This in turn makes in-house emailing obsolete; removing time consuming unproductive tasks and taking your business into the future of connectivity!

You must remain familiar with the technological landscape of those in your sector, and, to a point, the world. This is the best way to learn what could solve the challenges you are having in your own organisation. Doing so will give you peace of mind that your team are as well-equipped as possible to complete their roles to the best of their ability. But, don’t worry if you are finding it difficult, get in contact with our expert team today and let us help you get the most from the tech in your business.
